New Energy Events LLC: Events Terms & Condition

REGISTRATION CANCELLATION & SUBSTITUTION POLICY

All registration cancellations must be submitted in writing to info@newenergyevents.com.

Refund eligibility is as follows:

  • 60 calendar days or more before the event: 75% refund

  • 30–59 calendar days before the event: 50% refund

  • 29 calendar days or fewer before the event: no refund

Substitutions are permitted within the same company prior to the event or onsite check-in. Once a substitution has been processed, the original registration will no longer be valid. Substitutions after badge pickup onsite are not permitted.

Cancellation of an event registration does not cancel hotel reservations. Attendees are responsible for managing and canceling their own hotel bookings directly with the hotel.

If an event is canceled by New Energy Events LLC, liability is limited to a refund of the registration fee paid.

REGISTERING ON BEHALF OF ANOTHER PERSON

If you register on behalf of another attendee, you are responsible for ensuring that the attendee is aware of and accepts these Terms & Conditions.

By submitting a registration, you represent and warrant that the attendee has been informed of and agreed to these Terms & Conditions.

All Terms & Conditions apply to the registered attendee regardless of who completed the registration process.


HOTEL RESERVATIONS

Hotel reservations made within an official event room block are subject to the hotel’s own terms and conditions. New Energy Events LLC is not responsible for issues arising from hotel bookings, including cancellations, room availability, billing disputes, or reservation changes.

Attendees are responsible for reviewing and complying with hotel policies directly.


MARKETING MATERIALS & SOLICITATION

The display or distribution of marketing materials is reserved for official sponsors and exhibitors within designated event areas unless otherwise approved in writing by New Energy Events LLC.

Unauthorized materials or solicitation may be removed at the discretion of New Energy Events LLC. Individuals or companies in violation of this policy may be removed from the event without refund.


ASSUMPTION OF RISK

By attending a New Energy Events event, attendees voluntarily assume all risks associated with participation in a public event, including but not limited to personal injury, illness, property damage, or other hazards that may arise during travel to, attendance at, or participation in the event.

Attendees accept full personal responsibility for their participation.


LIABILITY RELEASE

New Energy Events LLC shall not be liable for any claims, losses, damages, injuries, illnesses, delays, expenses, or liabilities arising from participation in the event.

In no event shall New Energy Events LLC’s total liability exceed the amount of registration fees paid by the attendee.


CONTACT INFORMATION & CONSENT

By registering for a New Energy Events event, attendees consent to the collection and processing of their contact information for event administration, communications, networking, and matchmaking purposes.

Contact information may be shared with:

  • Title sponsors of the event

  • Sponsors or supporters associated with optional registration selections

  • Approved event networking or matchmaking platforms

No other third parties will receive attendee contact information without consent unless required by law.

Attendees may withdraw consent at any time by contacting info@newenergyevents.com. Withdrawal of consent may impact the delivery of important event communications, networking services, or logistical updates.

FORCE MAJEURE

New Energy Events LLC shall not be liable for any failure or delay in performance resulting from circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, pandemics, government actions, labor disputes, civil unrest, terrorism, transportation disruptions, utility failures, or other force majeure events.

In the event of such circumstances, New Energy Events LLC reserves the right to modify, postpone, reschedule, shorten, or cancel the event without liability beyond registration fees paid.

Participants remain responsible for any costs incurred outside of registration fees, including travel and accommodation expenses.


CODE OF CONDUCT

All attendees, speakers, sponsors, exhibitors, staff, and partners are expected to conduct themselves professionally and respectfully throughout the event.

Harassment, discrimination, disruptive behavior, or inappropriate conduct will not be tolerated and may result in removal from the event without refund.

New Energy Events LLC reserves the right to determine what constitutes inappropriate behavior at its sole discretion.


INDEMNIFICATION

By participating in the event, attendees agree to indemnify and hold harmless New Energy Events LLC, its employees, contractors, affiliates, and representatives from and against any claims, damages, liabilities, costs, or expenses arising from their participation in the event.


CONTENT DISCLAIMER

Views expressed by speakers, attendees, sponsors, exhibitors, or other participants are their own and do not necessarily reflect those of New Energy Events LLC.

Participants are solely responsible for the content of their presentations, materials, statements, and promotional activities.


PHOTOGRAPHY & RECORDING CONSENT

By attending a New Energy Events event, attendees acknowledge and agree that photographs, video recordings, and audio recordings may be captured during the event by New Energy Events LLC or its authorized representatives.

Attendees grant New Energy Events LLC the right to use such recordings for promotional, marketing, editorial, and commercial purposes across all media channels without compensation.

Attendees who do not wish to be photographed or recorded should notify New Energy Events LLC in writing prior to the event. While reasonable efforts will be made to accommodate such requests, New Energy Events LLC cannot guarantee that attendees will not appear incidentally in event photography or recordings.

Attendees may not record or broadcast event sessions without prior written permission from New Energy Events LLC.


ACCESSIBILITY & INCLUSIVITY

New Energy Events LLC is committed to providing an accessible and inclusive environment for all participants.

Attendees requiring accommodations or accessibility assistance are encouraged to contact info@newenergyevents.com at least four weeks prior to the event.

Reasonable efforts will be made to accommodate requests in coordination with venues and service providers.


INTELLECTUAL PROPERTY RIGHTS

All event content, including presentations, recordings, materials, branding, and distributed documents, remains the intellectual property of New Energy Events LLC, the respective presenters, or their licensors.

Event content may not be reproduced, distributed, recorded, modified, or publicly shared without prior written permission from the applicable rights holder.

Materials provided to attendees are for personal, non-commercial use only.

By submitting presentations or materials to the event, contributors grant New Energy Events LLC a non-exclusive, royalty-free, worldwide license to use, reproduce, distribute, and display such materials in connection with the event and its promotion.


GOVERNING LAW

These Terms & Conditions shall be governed by and construed in accordance with the laws of the State of Florida, without regard to conflict of law principles.


AMENDMENTS

New Energy Events LLC reserves the right to update or modify these Terms & Conditions at any time without prior notice.

If any provision is determined to be unenforceable, the remaining provisions shall remain in full force and effect.

These Terms & Conditions apply to all event participants, including attendees, speakers, sponsors, exhibitors, partners, and guests.
